Company Knowledge allows admins to create centrally managed knowledge folders that can be selected directly in Assist chats.
Users can use visible knowledge folders in Assist without manually uploading the underlying documents themselves.

Before you start
- Only admins can create, edit, or delete Company Knowledge folders
- Once a folder is set to Visible, it becomes available to all users in the organization
- Access cannot currently be restricted to specific users or groups
Documents uploaded to Company Knowledge are processed in the same way as documents uploaded directly into Assist. Documents are pre-processed and indexed so that Assist can retrieve the most relevant information from the selected knowledge folders during a conversation.
Additionally, each Company Knowledge folder can include a description that provides BEAMON Assist with further context about the purpose of the folder, the type of content it contains, and how the information should be used.
Create a Company Knowledge folder
To create a Company Knowledge folder:
- In the sidebar, open Configuration
- Select Company Knowledge
- Click Create folder
- Enter a folder name
- Optionally, add a description
The description provides additional context to Assist about:
- the purpose of the folder
- the type of content it contains
- how the information should be used
You can edit the folder name and description later.
Newly created folders are set to Hidden by default.
Upload documents to a Company Knowledge folder
After creating a folder, you can upload files and folders into it.
Company Knowledge supports the same upload behavior and limitations as document uploads in Assist.
Supported functionality includes:
- drag-and-drop uploads
- uploading files
- uploading folders
- multi-file uploads
The same upload limitations apply, including:
- a maximum of 100 documents per upload

Copy documents from Documents
You can also add existing files or folders from your personal Document Management.
To copy files from Documents:
- Open a Company Knowledge folder
- Click Copy from my documents
- Select files or folders
Copied files are independent copies. The original files remain unchanged in their original location.
Make a Company Knowledge folder available in Assist
To make a folder available to users in Assist:
- In the sidebar, open Configuration
- Select Company Knowledge
- Change the visibility setting from Hidden to Visible for the Company Knowledge folder
Once at least one folder is visible:
- the Knowledge option appears in the Assist tool selection menu
- users can select visible knowledge folders directly in the chat
Use Company Knowledge in Assist
To use Company Knowledge in Assist:
- Open Assist
- Click Knowledge in the tool selection menu
- Select one or more visible knowledge folders
- Submit your prompt
Assist retrieves relevant information from the selected knowledge folders and uses it as contextual information during the conversation.

Not currently. Once a folder is set to Visible, it becomes available to all users in the organization.
Are copied documents linked to the originals?
No. Documents copied via Copy from my documents are independent copies. Changes to the original files are not synchronized automatically.
