When you create a new application, you will very likely also include several document templates, downloadable files, images, and perhaps even video. A less obvious asset is the font you or your client's organization use. If you are aware which assets and material you need early on in the project, you can work with your design, brand, or marketing department to avoid any waiting times later on.
Commonly required material and assets
Font
Ensure upfront that the font you plan to use is available and can be used for commercial use. Typically your web or marketing team can advise which fonts can be used for public or external-facing modules.
Word templates
You may not have the final templates ready but you should have an idea how many templates you will need, who will use them and if they should be available as downloadable PDF or DOCX file. You should also consider using your or your client's brand-compliant templates or alternatively create a bespoke template and reuse the formatting and design in all the documents used in your application.
(Downloadable) Files
There might be occasions when you want to offer your end-users the Terms & Condition or information guides as download. Collect these and try to apply the branding you are using in your Word templates. You may also want to simply link to some external content or add info blocks instead, depending on the length and complexity of the information you wish to relay.
Images
Images can be a powerful tool to communicate information or processes easily. Similar to fonts, you should always ensure that you are using images that are licensed or create your own in line with the design of the other assets in your application. Ensure that colors don't clash and that you upload images in a high resolution to avoid pixelation.
Videos
Videos are a great way to introduce your end-users to your module or to explain more complex topics. To upload videos, you have to use an embed link. This means your video has to be uploaded to Youtube or Vimeo or a similar tool. Find out internally if and where you are allowed to host such video material and if accounts or channels exist. Videos typically also have a longer lead time, so consider their usefulness for the application and the end-users early on.
